Attending with Confidence: Our Cancellation, Liability & Participation Policy<\/b><\/h2>\n

At Emergency Medicine Symposium, we are committed to creating a high-quality, enriching, and face-to-face experience for all delegates. This document outlines our approach to cancellations, refunds, travel responsibility, program changes, and communication. We have designed it to be transparent, fair, and aligned with the spirit of collaboration that defines our community.<\/p>\n

1. Our Commitment to In-Person Collaboration<\/b><\/h3>\n

We believe in the power of being in the room together. The Emergency Medicine Symposium is, and will remain, a fully in-person<\/b><\/span> event. We are not planning for any virtual or hybrid alternatives. In the unlikely event that the in-person symposium cannot proceed due to unexpected or uncontrollable circumstances, we will cancel the event and offer a full refund of registration fees<\/b><\/span>.<\/p>\n

This reflects our core belief: the real magic happens when clinicians connect, share, and grow\u2014side by side.<\/p>\n

\n

2. Delegate-Initiated Cancellations<\/b><\/h3>\n

We understand that circumstances can change. If you need to cancel your registration:<\/p>\n

    On or before 13 March 2026<\/b>: You will receive a refund, minus a <\/span>$100 administrative fee<\/b>.<\/span><\/p>\n<\/li>\n

  • \n

    Between 14 March and 6 April 2026<\/b>: A <\/span>50% refund<\/b> will be issued.<\/span><\/p>\n<\/li>\n

  • \n

    From 7 April 2026 onward<\/b><\/span>: No refunds will be available.<\/p>\n<\/li>\n<\/ul>\n

    All cancellation requests must be submitted in writing.\u00a0<\/p>\n

    3. Accommodation and Hotel Bookings<\/b><\/h3>\n

    While Emergency Medicine Symposium does not profit from accommodation bookings, we are required to meet a minimum room commitment with our host hotel. Booking early through our official link helps us avoid penalties and keeps the planning stress low.<\/p>\n

      We are not responsible<\/span> for changes, cancellations, or disputes related to your accommodation.<\/p>\n<\/li>\n

    • \n

      However, if the advertised conference rates are not being honoured\u2014and our group allocation has not yet sold out\u2014we are happy to assist with hotel negotiations where possible.<\/p>\n<\/li>\n<\/ul>\n

      4. Program Flexibility<\/b><\/h3>\n

      We strive to deliver a dynamic and relevant program. However, Emergency Medicine Symposium reserves the right to make adjustments to the agenda<\/b><\/span>, including speaker changes, session formats, or scheduling, without prior notice and without refund<\/b><\/span>.<\/p>\n

      5. Post-Pandemic Considerations<\/b><\/h3>\n

      As you plan your trip, please keep the following in mind:<\/p>\n

        Our aim is to continue hosting the event in person, as we have successfully done for the past three years.<\/p>\n<\/li>\n

      • \n

        Vietnam currently welcomes international travellers with open borders, and we anticipate this will remain unchanged.<\/p>\n<\/li>\n

      • \n

        We will comply with all local Vietnamese health regulations<\/b><\/span> in place at the time, including any requirements for mask usage or safety protocols<\/p>\n<\/li>\n<\/ul>\n

        6. Travel, Vaccinations, and Insurance<\/b><\/h3>\n

        Delegates are individually responsible for ensuring they:<\/p>\n

        • \n

          Meet any applicable mandatory travel requirements<\/span> of the host country at the time of travel<\/p>\n<\/li>\n

        • \n

          Consider obtaining comprehensive travel insurance<\/b><\/span> covering flights, accommodation, health, and unforeseen disruptions<\/p>\n<\/li>\n<\/ul>\n

          Emergency Medicine Symposium will not be liable<\/b><\/span> for costs or losses related to travel issues, illness, or failure to meet entry or exit requirements.<\/p>\n

          7. How We\u2019ll Stay in Touch<\/b><\/h3>\n

            Official updates will be sent via email<\/b><\/span> and published on our website<\/b><\/span>.<\/p>\n<\/li>\n

          • \n

            During the event, we will use WhatsApp<\/b><\/span> as our primary communication tool for real-time updates and logistics.<\/p>\n<\/li>\n<\/ul>\n

            Overview<\/h3>\n\n\n\n

            Our refund and returns policy lasts 30 days. If 30 days have passed since your purchase, we can\u2019t offer you a full refund or exchange.<\/p>\n\n\n\n

            To be eligible for a return, your item must be unused and in the same condition that you received it. It must also be in the original packaging.<\/p>\n\n\n\n

            Several types of goods are exempt from being returned. Perishable goods such as food, flowers, newspapers or magazines cannot be returned. We also do not accept products that are intimate or sanitary goods, hazardous materials, or flammable liquids or gases.<\/p>\n\n\n\n

            Additional non-returnable items:<\/p>\n\n\n\n

            • Gift cards<\/li>\n
            • Downloadable software products<\/li>\n
            • Some health and personal care items<\/li>\n<\/ul>\n\n\n\n

              To complete your return, we require a receipt or proof of purchase.<\/p>\n\n\n\n

              Please do not send your purchase back to the manufacturer.<\/p>\n\n\n\n

              There are certain situations where only partial refunds are granted:<\/p>\n\n\n\n

              • Book with obvious signs of use<\/li>\n
              • CD, DVD, VHS tape, software, video game, cassette tape, or vinyl record that has been opened.<\/li>\n
              • Any item not in its original condition, is damaged or missing parts for reasons not due to our error.<\/li>\n
              • Any item that is returned more than 30 days after delivery<\/li>\n<\/ul>\n\n\n\n

                Refunds<\/h2>\n\n\n\n

                Once your return is received and inspected, we will send you an email to notify you that we have received your returned item. We will also notify you of the approval or rejection of your refund.<\/p>\n\n\n\n

                If you are approved, then your refund will be processed, and a credit will automatically be applied to your credit card or original method of payment, within a certain amount of days.<\/p>\n\n\n\nLate or missing refunds<\/b>\n\n\n\n

                If you haven\u2019t received a refund yet, first check your bank account again.<\/p>\n\n\n\n

                Then contact your credit card company, it may take some time before your refund is officially posted.<\/p>\n\n\n\n

                Next contact your bank. There is often some processing time before a refund is posted.<\/p>\n\n\n\n

                If you\u2019ve done all of this and you still have not received your refund yet, please contact us at {email address}.<\/p>\n\n\n\nSale items<\/b>\n\n\n\n

                Only regular priced items may be refunded. Sale items cannot be refunded.<\/p>\n\n\n\n

                Exchanges<\/h2>\n\n\n\n

                We only replace items if they are defective or damaged. If you need to exchange it for the same item, send us an email at {email address} and send your item to: {physical address}.<\/p>\n\n\n\n

                Gifts<\/h2>\n\n\n\n

                If the item was marked as a gift when purchased and shipped directly to you, you\u2019ll receive a gift credit for the value of your return. Once the returned item is received, a gift certificate will be mailed to you.<\/p>\n\n\n\n

                If the item wasn\u2019t marked as a gift when purchased, or the gift giver had the order shipped to themselves to give to you later, we will send a refund to the gift giver and they will find out about your return.<\/p>\n\n\n\n

                Shipping returns<\/h2>\n\n\n\n

                To return your product, you should mail your product to: {physical address}.<\/p>\n\n\n\n

                You will be responsible for paying for your own shipping costs for returning your item. Shipping costs are non-refundable. If you receive a refund, the cost of return shipping will be deducted from your refund.<\/p>\n\n\n\n

                Depending on where you live, the time it may take for your exchanged product to reach you may vary.<\/p>\n\n\n\n

                If you are returning more expensive items, you may consider using a trackable shipping service or purchasing shipping insurance. We don\u2019t guarantee that we will receive your returned item.<\/p>\n\n\n\n
